Configuring management fee structures

This guide covers how to configure management fees for properties you manage on behalf of other owners. Fee structures can be different for long-term rentals (LTR) and short-term bookings (STR).

Fee Structure Options

Management Fee (Percentage)

The most common fee type — a percentage of revenue collected.

Typical management fees range from 6-12% for LTR and 15-25% for STR, depending on services provided and local market.

Leasing Fee

Charged when placing a new long-term tenant.

Configuring Fees

Navigate to Property

Go to the managed property's detail page.

Open Management Settings

Click Management Settings in the property menu.

Set Management Fee

Enter your percentage rate and choose the calculation basis.

Configure Leasing/Finder's Fee

Set tenant placement fees if applicable.

Add Cleaning Fee (STR)

For short-term properties, configure cleaning fees.

Configure Other Fees

Add maintenance markup and any additional fixed fees.

Save

Save the configuration.

Calculation Examples

Long-Term Rental: Monthly Management Fee

Long-Term Rental: With Maintenance

Fee Tracking

Rentigo automatically tracks:

  • Fees Earned — Per property, per period
  • Fee Types — Breakdown by category
  • Outstanding Amounts — What you've earned but not yet deducted
  • Payment History — When owners were paid

Viewing Fee Summary

  1. Go to Management Fees in the sidebar
  2. Select time period (month, quarter, year)
  3. View by property, owner, or fee type
  4. Export for accounting software

Owner Payments

When it's time to pay owners:

Review Statement

Go to the property and view Owner Statement.

Verify Calculations

Check that revenue, fees, and expenses are correct.

Generate Statement

Click Generate Statement to create a PDF.

Make Payment

Transfer the net amount to the owner's bank account.

Record Payment

Mark the statement as "Paid" with date and reference.

Email Statement

Send the statement to the owner (automatic or manual).

Special Situations

Vacant Properties

If you charge during vacancies:

  • Configure a vacancy fee (fixed monthly amount)
  • Fee applies automatically when no active lease
  • Common for properties you actively market

Partial Months

For mid-month tenant changes:

  • Management fees are prorated automatically
  • Leasing fees apply to the new lease in full
  • Clearly documented in owner statements

Owner-Paid Expenses

When owners pay expenses directly:

  1. Record the expense in Rentigo
  2. Mark as "Owner Paid"
  3. It won't be deducted from owner payments
  4. Still appears on statements for transparency

Booking Channel Commissions (STR)

When bookings come through channels like Airbnb:

  • Channel commission is recorded as an expense
  • Reduces the revenue used for fee calculations
  • Or configure as a pass-through to the owner

Templates

Save time with fee templates:

  1. Configure fees on one property
  2. Click Save as Template
  3. Apply to other managed properties
  4. Adjust individual properties as needed

Best Practices

  1. Written Agreements — Document fee structure in management contracts before setup
  2. Consistent Application — Apply fees consistently across similar properties
  3. Regular Statements — Send owner statements monthly (or after each booking for STR)
  4. Transparent Reporting — Show how each fee is calculated
  5. Review Annually — Adjust fees as market conditions change
  6. Separate Accounts — Keep owner funds separate from your operating account
  7. Tax Documentation — Maintain records for tax purposes
