How to invite tenants to your properties
Inviting tenants is how you create new leases in Rentigo. The invitation process collects lease terms and sends the tenant a registration link. When they accept, both their account and lease are created automatically.

Invitation Process
Navigate to Property
Go to Properties and select the property you want to lease. Click Invite Tenant.
Enter Tenant Email
Provide the tenant's email address. This will be their login username.
Set Lease Terms
Fill in the lease details:
- Start Date — When occupancy begins
- End Date — When the lease expires (optional for month-to-month)
- Rent Amount — Monthly payment amount
Add Personal Message (Optional)
Include a custom note that will appear in the invitation email.
Send Invitation
Click Send Invitation. The tenant receives an email to register.
You cannot invite a tenant without specifying lease terms. This ensures every tenant has proper lease documentation from day one.
What Tenants Receive
When you send an invitation, the tenant receives an email containing:
- A welcome message from you (or default text)
- Property address
- Lease start date and rent amount
- A link to register or log in
- Instructions for accessing their portal
Invitation Status
| Status | Description |
|---|---|
| Pending | Invitation sent, tenant hasn't registered |
| Expired | 7 days passed without registration |
| Accepted | Tenant registered and lease created |
| Cancelled | You cancelled the invitation |
Managing Invitations
Viewing Pending Invitations
- Go to Properties and select the property
- Pending invitations appear in the property details
- You'll see the invited email, dates, and time remaining
Resending Invitations
If a tenant hasn't registered:
- Navigate to the property with the pending invitation
- Click Resend Invitation
- A new email is sent with a fresh 7-day expiration
Contact the tenant before resending to confirm their email address and let them know to expect it.
Canceling Invitations
To cancel a pending invitation:
- Navigate to the property with the pending invitation
- Click Cancel Invitation
- The invitation link is immediately invalidated
- You can now invite a different tenant to the same property
Existing Tenants
If someone is already a tenant on another property:
- Navigate to the new property
- Click Invite Tenant
- Enter their existing email address
- They receive an invitation to accept the new lease
- When accepted, they're linked to both properties with the same account
The tenant doesn't need to create a new account. They use their existing login credentials.
Backdating Leases
When migrating existing tenants to Rentigo:
- You can set a start date in the past
- The lease will be created with the historical date
- Rent records can be generated from that date
- This preserves your rental history
Backdated leases still require the tenant to accept the invitation. Work with your existing tenants to get them registered.
Best Practices
- Inform tenants first — Let them know to expect the invitation email
- Verify email addresses — Typos mean the tenant won't receive the email
- Check spam folders — Invitation emails sometimes end up in spam
- Set realistic dates — Don't invite until you're ready for the tenancy to begin
- Follow up promptly — If they haven't registered after 3-4 days, check in
Troubleshooting
Tenant didn't receive email
- Verify the email address for typos
- Ask tenant to check spam/junk folder
- Resend the invitation
- Try an alternative email address
Invitation expired
Click Resend Invitation to generate a new link with a fresh 7-day window.
Wrong email sent
- Cancel the incorrect invitation
- Send a new invitation to the correct address
- The first invitation is immediately invalidated
Tenant already has account
If the tenant used a different email before:
- Ask them which email they want to use
- Either invite to their existing email, or
- Have them update their email in their profile settings
Property already has active lease
You cannot invite a new tenant to a property with an active lease:
- First terminate the existing lease
- Then send the new invitation
