Managing tenant permissions and portal access

Tenants in Rentigo have their own portal with access limited to information relevant to their tenancy. This page explains what tenants can see, do, and how their access is managed.

When tenants log in to Rentigo, they see a simplified interface focused on their rental:

What Tenants Can Do

  • View lease terms — Start/end dates, rent amount, property details
  • See payment status — Due dates, amounts, payment history
  • Submit meter readings — With photo proof (if meters enabled)
  • View deposit balance — Current balance and transaction history
  • Submit maintenance requests — Report issues with photos
  • Download documents — Access shared lease agreements
  • Update profile — Change contact info and password
  • Enable two-factor authentication — Secure their account
  • Chat with AI assistant — Ask Rigo questions about their tenancy

Tenants cannot see other tenants' information, your financial data, or properties they don't rent.

AI Assistant (Rigo)

Tenants can chat with Rigo, the AI assistant, to get help with:

  • Understanding their lease terms
  • Payment due dates and amounts
  • How to submit meter readings
  • Maintenance request status
  • General questions about their tenancy

Rigo uses the information you've provided to answer tenant questions accurately, reducing the number of questions you need to handle directly.

Privacy Protection

Rentigo is designed with tenant privacy in mind:

  • Isolated data — Tenants only see their own information
  • No cross-tenant visibility — One tenant cannot see another's data
  • Secure documents — Shared files require authentication
  • Property isolation — Multi-property tenants see each property separately
  • Audit logging — All access is logged for security

Meter Reading Submissions

For properties with meters enabled, tenants can:

  1. Navigate to Meters in their portal
  2. Click Submit Reading
  3. Enter the current meter value
  4. Take a photo of the meter display
  5. Submit for landlord review

You can configure whether tenants must provide photo proof when submitting readings. See Meters for configuration options.

Document Sharing

You can share documents with specific tenants:

Upload Document

Go to the lease and upload a document (PDF).

Set Visibility

Choose whether the document is visible to the tenant.

Tenant Access

Tenants can view and download documents marked as shared.

  • Emergency contact information
  • Appliance instructions
  • Building regulations

Don't share documents containing sensitive financial information, other tenants' details, or your personal tax documents.

Communication Preferences

Tenants can set their notification preferences:

Account Security

Tenants are encouraged to:

  • Use a strong, unique password
  • Enable two-factor authentication
  • Keep their contact information current
  • Log out when using shared devices

You can see if a tenant has enabled 2FA in their profile, but you cannot enable or disable it for them.

Access Lifecycle

When Access Begins

Tenants gain portal access the moment they:

  1. Accept the invitation
  2. Complete registration
  3. Their lease is created

During Active Tenancy

Tenants have full portal access including:

  • All viewing capabilities
  • Meter submission
  • Maintenance requests
  • Document downloads
  • AI assistant chat

When Lease Ends or Is Terminated

When a lease ends:

  1. Active features are disabled (meter submission, maintenance requests)
  2. View-only access to historical data is retained
  3. They can still download previously shared documents
  4. Their account remains for any other active leases

If a tenant has multiple properties, their access to other properties is unaffected when one lease ends.

Complete Account Removal

For complete data removal:

  1. All leases must be ended or terminated
  2. Tenant can request account deletion
  3. Historical data is removed per privacy regulations
  4. This is irreversible — use only when required

Multi-Property Tenants

When a tenant rents multiple properties:

  • Each property appears separately in their portal
  • They can switch between properties easily
  • Payment history is organized by property
  • Documents are associated with specific properties
  • Access to each property depends on its lease status
